How to tell if a prospect shared your proposal with their team
Send your proposal as an ArtifactSend link that asks each reader to prove their email. When your contact passes it on, each colleague who opens it shows by name, and the Analytics page groups everyone at one company under Teams reading, with what each person read and for how long.
The short answer
A proposal shared inside a company gets opened by new people from the same company. With an attachment you never see them. With a tracked link that asks for a proven email, every new reader shows up by name, and their work email tells you the company.
Opens alone cannot tell you this. Two opens can be one person on two devices. A proven email at the door makes each person count once.
The signals that it is being passed around
- A second or third person at the same company opens it.
- A new reader starts on the pricing, the terms or the security pages, which often means finance, legal or IT.
- Your contact comes back after a few days, often right before or after an internal meeting.
- Several opens land close together, from different people.
See it in ArtifactSend
- Upload the proposal as PDF, Word or PowerPoint, or send it from ChatGPT or Claude.
- Choose the email code door, so every reader proves their email.
- Send your contact their own link.
- Open Analytics. Teams reading lists each company with two or more readers, with names, documents and total time. Follow up now ranks the people most worth a call.
Each reader's row shows time on every page, so you see that the CFO read only the pricing, for example. Colleagues at your own company are left out automatically.
Which companies are reading
Every reader with a work email is grouped by company across all your documents. You see which companies read, how many people at each, and when they last read. Readers on a personal email are listed by name instead.
Want to keep it inside the companies you chose? Add an allow list of their domains. Anyone else who gets the link cannot open it.
